2023 Annual Meeting of the HOD: April 5 Speakers' Update

Your speakers provide important updates for the Annual Meeting of the House of Delegates and Sections this coming June. Review the Official Candidate Notification for the 2023 AMA elections (PDF) following the April Board of Trustees meeting. Note that active campaigning is now allowed.

Advance registration is required for all attendees of the AMA section and House meetings. This includes HOD delegates and alternate delegates. Participants must personally complete this registration because it includes an attestation to abide by our Code of Conduct and the health and safety protocol. Participants must register and account for their guests, including children, who plan to attend any function. Organizations represented in the House must submit names of delegates and alternates to the HOD office for credentialing.

Registration is now open for the House of Delegates and all section meetings. You will need to sign into the website to continue your registration.  

The Board of Trustees recently adopted the following health and safety protocol that will be in place for the meeting. Please be aware that this protocol is the minimum requirement while noting that your Board continues to monitor the environment and may implement more stringent requirements as the meeting approaches.

General attendee and guest protocol

  • Attendees are strongly encouraged to be up to date with their COVID-19 vaccinations per CDC guidelines as of March 31, 2023. This means having completed a COVID-19 vaccine primary series and received the most recent booster dose recommended by the CDC and as authorized or approved by the Food and Drug Administration, or for international guests, the World Health Organization.
  • Attendees will be required to attest during registration that they will test for COVID-19 if exhibiting any symptoms prior to the departure for the annual meeting, while attending the meeting, and/or following their return home after the meeting. Attendees should not participate in the meeting if, at any point, they test positive before or during the annual meeting.
  • CDC recommendations or requirements of Chicago and Illinois in effect at the time of the meeting will be enacted and enforced.
  • Masks are welcome but not required. Anyone who wishes to wear a mask is welcome to do so and their decision should be respected. 

This health and safety protocol applies to all attendees, including section members, delegates, alternate delegates and all guests. Attendees should check the meeting website for any changes to this protocol.

Protocol for children in Camp AMA

The Board of Trustees has implemented the following health and safety requirements for children participating in Camp AMA. This protocol was developed in consultation with a group of parents who plan to use Camp AMA for their children. 

  • Any child with a fever or exhibiting other symptoms of illness should not participate in Camp AMA. Children who become ill during the day must be picked up by their parent(s) upon notification.
  • Parents are strongly encouraged to have their children up to date on vaccination per CDC guidelines.
  • While masking is not currently required, parents of all children over age 2 will be expected to supply a mask, should circumstances require.
  • Parents are encouraged to perform a COVID-19 test on children over the age of 2 within 24 hours of attending Camp AMA. A negative COVID-19 test is required to return to Camp AMA should the child have symptoms consistent with COVID-19 or receive a diagnosis of COVID-19.

Additional Camp AMA information

Please note that advance registration is required for all children planning to attend Camp AMA. The deadline for registration is May 26, 2023. A maximum of 45 children can be accommodated on any given day. No “walk-ups” will be accommodated.  

All resolutions and reports will be posted on the meeting website as they become available. The online forums will open on May 17, and close on May 30, at midnight, Central time. Commentary submitted to the online member forums will be used to generate a preliminary document to inform the discussion at the in-person reference committee hearings. Anything posted after the deadline will be deleted and will not be reviewed by the reference committees as they develop their preliminary documents.

Volunteers to serve on House committees, including reference committees and rules and credentials, or as tellers are being sought. The application form (PDF) should be submitted to [email protected]. Note that even those who have applied for prior meetings need to submit this form to be considered.

As a reminder, reference committee volunteers would need to be available to meet virtually on the weekend of June 3-4, to develop a preliminary document based on the online forum testimony. All applicants are asked to hold this weekend open on their schedule to accommodate this meeting. Those interested in chairing a committee should so indicate this on the form.
