AMA-MGMA Selecting a Practice Management System Toolkit

Use technology to meet today's practice challenges

The opportunities for automation in the physician practice have rapidly increased in recent years. From eligibility verification to claims submission and patient billing, many formerly manual, time-intensive administrative tasks can be streamlined and simplified with practice automation.

With all types of automation, the right technology ensures a smooth transition to new work processes. In the case of automating a medical practice’s revenue cycle, the right practice management system (PMS) is key to leveraging the improved efficiencies offered by electronic transactions and workflows. PMS software organizes a practice’s administrative and billing functions and typically includes features such as:

  • Capturing patient demographics;
  • Appointment scheduling; 
  • Patient pre-registration (including insurance eligibility and benefit checks); 
  • Determining patient financial responsibility in order to collect payments at the point of care;
  • Maintaining lists of insurance payers; 
  • Performing billing tasks; and 
  • Generating administrative reports.

While the benefits of moving from manual to automated processes for these tasks are clear, choosing and purchasing an appropriate PMS—whether it’s your first system or you are upgrading to a new product—can be a daunting and overwhelming task. Selecting software that does not integrate properly with your practice workflow or that does not contain the features your practice needs can result in unnecessary costs, wasted time and endless frustration for you and your staff. In addition, purchasing a system that is not well supported by the vendor or is not compliant with federally mandated transactions and code sets will result in significant billing and collections challenges—not to mention unrealized administrative efficiencies.
